This assignment will give you an opportunity to apply best practices to the development of the communications management plan.
Case Study
The administrative leadership team at ACME Inc. has decided to implement a new piece of software that will automate some processes, such as cheque requisition, invoicing and late payment reminders. The software will not only help to decrease the instances of human errors and increase the speed of some processes, but it will also give administrators a more accurate picture of budgets.
You are the change manager and have become aware that rumours are circulating in the Supply Chain Management department (the target end-users) that the software being introduced will lead to jobs being eliminated. As a result, progress on the project has slowed and team members are waning in their enthusiasm for the project. Although it’s true that jobs will change in that department, the administration has no plans to eliminate jobs that are made redundant by the new software.
Possible communication methods (choice of media) include: the weekly staff e-newsletter, the staff internal website, the external website, departmental meetings, project team meetings, email lists (for different departments as well as a separate list of customers, vendors and contractors who will be receiving the cheques, invoices and late payment notices) as well as posters, informational brochures, and any other printed or electronic media that you want to introduce. (Budget is likely not an issue as administration wants the project to be successful so you are certain that if you make a good case for it, you can convince them.)
In addition to the stakeholders mentioned above, you may want to consider the impact that a new piece of software has on other departments, such as IT and training.
Use the template provided to complete this mini-communications plan. Your main audience for this document is Acme Inc.’s administrative leadership team. You must include the following elements:
a. Stakeholder Analysis and Engagement Approach: The five most important stakeholders.
b. Communications Matrix: The five most important activities or items.
c. Issue Analysis: Analyze the gossip issue. How would you address it and why it is important to address. Be specific about what communication methods you would use to address this issue and why.
d. Change Risk Register: Identify a minimum of 3 change risks and include a change risk register along with the identified risk management approach.
